You can edit any PhantomBuster Phantom or Workflow at any time from your Dashboard: open its setup via the three-dot menu, make your changes, and click Save & close. To permanently delete an automation, select Delete from the same menu. Deleting removes the setup, launch history, and saved results, so export any important data first. For Workflows, avoid changing input data mid-process; create a new Workflow instead. If you just want to stop an automation without deleting it, you can pause its schedule or stop an active run.
Update a Phantom's setup
You can edit a Phantom at any time to change:
- The data you’re working with.
- Its launch behavior.
- How often it runs.
To update a Phantom:
- Go to your PhantomBuster Dashboard and find the Phantom you want to update.
- Click the three dots on the Phantom card and select Setup.
- Make your changes, then click Save & close.
Your updated settings apply immediately. If the Phantom is scheduled, it will follow the new behavior from the next launch.
Update a Workflow
Workflows can also be edited, for example, to update message templates or adjust schedule settings, but it's not recommended to change input data once a Workflow has started running. Specifically, you can't remove or replace individual leads in your input list once the Workflow is processing them.
Because Workflows manage multiple connected steps (like extracting, enriching, and messaging), changing the data mid-process can cause inconsistencies or incomplete results. This also means you can't remove a specific lead from a running Workflow: once a lead enters the sequence, the Workflow will keep processing them. The only exception: If a lead replies, the Workflow will automatically stop sending them further follow-ups.
If you want to use a different input, exclude certain leads, or modify the data being processed: create a new Workflow instead of editing the existing one. Workflows like LinkedIn Outreach let you input a filtered list of profile URLs directly, so you can define exactly who's in scope.
Note that any updates to message templates apply only to actions that haven't been performed yet, leads who already received the older version of your message won't get the updated one resent.
Delete an automation from your workspace
Deleting a Phantom or Workflow will permanently remove:
- Its setup and configuration.
- Past launch history.
- Any saved result files.
Before deleting:
- Export any important data from the Results tab.
- Check that no other Phantoms depend on it (especially if it’s used in a chained setup).
To delete:
- Go to your Dashboard and find the automation you want to delete.
- Click the three dots on its card and select Delete.
- Confirm when prompted.
Once deleted, the automation cannot be recovered.
Pause or stop without deleting
If you don't want to delete your automation, but want it to stop running:
- Toggle off its scheduled launches.
- Stop any active runs from the Console page.
- Review chaining if it’s part of a larger multi-step setup (applies to Phantoms only).
