When you run a search on LinkedIn or Sales Navigator, the number of profiles you can actually extract with Phantoms will always be smaller than the total displayed. This is a LinkedIn limit, not a PhantomBuster one: LinkedIn caps results at 1,000 per search (2,500 on Sales Navigator People searches). To collect more profiles, split your search into smaller, filtered queries rather than relaunching the same URL.
If your Phantom crashes while handling large searches, see Troubleshooting the "Page has crashed" error. If you're hitting a monthly cap instead, see How to Fix the "Search Limit Reached" Error.
Why you're seeing this
LinkedIn and Sales Navigator only make part of your total search results accessible, regardless of what the on-screen total says:
- LinkedIn: up to 1,000 results (100 pages × 10 results)
- Sales Navigator: up to 2,500 results for People searches, and 1,000 for Account searches
Even if a search shows a higher number (e.g., "10,000 results"), you'll only ever be able to access up to these limits.
Phantoms can only extract what's visible, so these caps apply no matter which Phantom you use. Relaunching the same search URL, even on different days, won't increase the number of profiles you can extract beyond LinkedIn's per-search cap. To collect more results, you need to adjust your search setup, typically by splitting it into smaller searches with filters.
How to fix it
Split searches with filters
Because of the 1,000 (LinkedIn) and 2,500 (Sales Navigator) per-search caps, the best way to gather more results is to split your searches into smaller, slightly varied ones.
Example 1: Narrow by region within a single area
If you're targeting California, break the search down while staying regionally consistent:
- Search 1: San Francisco Bay Area
- Search 2: Los Angeles Metropolitan Area
- Search 3: San Diego Area
- Search 4: Sacramento Area
Example 2: Narrow by job focus or keywords
If you want to target marketing roles in California:
- Search 1: California + "Marketing Manager"
- Search 2: California + "Digital Marketing"
- Search 3: California + "Content Marketing"
Then run your searches with:
Add each search URL into a Google Sheet (one per row in Column A) before launching your Phantom.
Schedule your Phantoms
In your Phantom's Launch settings, spread runs out over hours or days. This helps avoid rate limits and ensures all searches get processed. Applies to both LinkedIn and Sales Navigator.
Explore LinkedIn Groups
Use the LinkedIn Group Members Export Phantom to access profiles outside of standard search limits. Applies to both LinkedIn and Sales Navigator accounts.
Target specific companies (Sales Navigator only)
Use the Sales Navigator Account Employees Export Phantom to collect all employees from selected accounts.
Enrich your results
Once you've collected profile or account URLs, use:
- LinkedIn Profile Scraper or LinkedIn Company Scraper
- Sales Navigator Profile Scraper or Sales Navigator Account Scraper
Upgrade to Sales Navigator
LinkedIn limits standard searches to 1,000 results, while Sales Navigator increases the per-search limit to 2,500 (for People searches). It also unlocks Sales Navigator-specific Phantoms for more advanced lead extraction.
Frequently asked questions
Why does LinkedIn show 10,000 results but I can only extract 1,000?
LinkedIn only makes the first 1,000 results navigable in standard search (100 pages × 10 per page). The total count is just a signal of how many profiles match, not how many you can reach.
Does Sales Navigator really unlock more results?
Yes. People searches cap at 2,500 instead of 1,000, and you get far more precise filters (seniority, function, years in role, etc.) to narrow down effectively.
I upgraded my LinkedIn account, will my Phantom now return more results?
Yes, but you need to relaunch it. The Phantom doesn't auto-refresh past results, it only applies your account's current limits when it runs. Simply relaunch the Phantom with the same search URL and it will extract results up to your new account's limits.
How many searches should I split one big query into?
Enough that each individual search returns fewer than the cap. If a single search shows 4,000 results on LinkedIn, splitting into at least 4 filtered variants keeps each one under 1,000.
Can I combine results from multiple search exports?
Yes. Run all your search URLs through the same Search Export Phantom using a Google Sheet input, the results are consolidated in one output file, and duplicate profile URLs are usually removed automatically.
Does this limit apply to LinkedIn Groups too?
No. The Group Members Export works differently and isn't subject to the 1,000-results cap, which is why it's useful for reaching profiles beyond standard search limits.
