The Phantom exports exactly what LinkedIn or Sales Navigator shows on the search results page. To improve accuracy, use more specific filters, test your search in LinkedIn first, and make sure your Phantom's input column is set correctly.

Why you're seeing this

The LinkedIn Search Export or Sales Navigator Search Export Phantoms export exactly what LinkedIn or Sales Navigator shows on the search results page. If the results on LinkedIn are inaccurate or incomplete, the exported file will reflect the same issues.

This can happen because:

  • Profiles aren't updated: Many users don't refresh job titles or company info, so outdated data appears as "current."
  • Inconsistent data entry: Job titles and company names are manually entered, so spelling or formatting variations affect matches.
  • Partial matches: LinkedIn may include similar roles or keywords even if they don't exactly match your filters.
  • Dynamic results: LinkedIn personalizes searches based on your activity, network, or location.
  • Hidden profiles: Some profiles restrict visibility or have missing fields, leading to gaps in your exports.
  • Incorrect Phantom setup: If your Google Sheet input doesn't have the correct column specified, the Phantom may process the wrong data (see "Set the correct column name" below).

How to fix it

Test your search first

Run it directly in LinkedIn or Sales Navigator to confirm the filters work before exporting. If the results are already inaccurate in LinkedIn, they'll be inaccurate in the export too.

Be specific with filters

Use targeted role titles or keywords instead of broad terms like "marketing." The more precise your search, the more relevant the export.

Use advanced Sales Navigator filters

Apply Spotlights such as "Changed jobs in the past 90 days" or "Posted in the past 30 days" to get fresher, more relevant results.

Set the correct column name in the Phantom setup

If you're using a Google Sheet as input and don't specify the correct column in the Name of column containing URLs field, the Phantom will use the first value in the sheet. If that first value is a header like "url" or "SearchUrl," the Phantom will treat it as a search term, which returns irrelevant or unexpected results.

To avoid this, either:

  • In the Searches to export step, expand Spreadsheet settings and enter the correct column header (e.g. "Search URLs") in Name of column containing URLs.
  • Or remove the header row entirely so there's no risk of processing an incorrect input.

If you see a "Search couldn't be loaded" message

This is a separate issue. It usually appears when LinkedIn or Sales Navigator can't load one or more of the search URLs during the Phantom's launch, often because the Phantom is trying to open too many search URLs in a single run.

How to fix it

  • Reduce the number of search URLs in your input file or Google Sheet.
  • Try running fewer searches per launch (e.g. split a list of 20 searches into two launches of 10 each).
  • Make sure each search URL opens normally in your browser, if LinkedIn shows an error or redirects, remove that URL.
  • Relaunch your Phantom after adjusting the input.

Frequently asked questions

Why do I see profiles that don't match my filters?

LinkedIn's search algorithm uses partial matching, network proximity, and personalization, so results aren't always a strict filter match. This happens in LinkedIn itself, not in the Phantom.

Is this a PhantomBuster issue or a LinkedIn issue?

Almost always LinkedIn. The Phantom exports exactly what LinkedIn displays. If you run the same search manually and see the same inaccurate results, the issue is on LinkedIn's side.

Will Sales Navigator give more accurate results?

Generally yes. Sales Navigator offers more granular filters (seniority level, function, years in role, Spotlights) which produce tighter results than standard LinkedIn search.

What does "Search couldn't be loaded" mean?

It means LinkedIn couldn't open one or more of your search URLs during the Phantom's run. Reduce the number of URLs per launch and make sure each one loads normally in your browser.

Should I remove headers from my Google Sheet?

Only if you don't specify the column name in the Phantom setup. If you set the correct column name in Name of column containing URLs, the header is fine. If you leave the field empty, the Phantom reads the first value, and a header like "SearchUrl" will be treated as a search term.

Can I filter out bad results after exporting?
